Customize email messages

MioWorks helps to keep your customers informed and integrated into your business by using email messages for alerts and information.  Each of the email messages that are sent to your contacts are fully editable by the site administrator through the Portal Administration page.

The email messages that are sent to customers include:

  • Portal contact account activation
  • Portal contact account deactivation
  • Shared file notification
  • Ask for approval notification
  • Issue response notification

The email notification panel allows you to define a reply to email address (1) for all notifications.  This replaces the standard MioWorks.com reply email with your own business or personal email.  You may also edit the content of the messages (2)(3) by changing the appropriate text.  You will notice inside the message boxes the use of %variable%.  These values are automatically replaced by MioWorks with the information from the appropriate contact.

The special variables used by MioWorks include:

  • %full_name% – inserts the contact’s full name
  • %file_name% – inserts the name of the shared file
  • %file_description% – inserts the description of the shared file
  • %issue_created_at% – inserts the date the issue was created
  • %issue_title% – inserts the title of the issue
  • %issue_type% – inserts the type of the issue

By using these special variables, the email messages sent to portal users are customized.  You may choose not to use these variables or to leave them as is depending on your business requirements.
