MioWorks SmartGroups

MioWorks SmartGroups are dynamically created groups that keep your collection up to date at all times.  By using SmartGroups you don’t need to adjust the group when a company is added or if that company changes status or meets/exceeds your defined criteria.

Example: Use  SmartGroups to define a sales territory

You can use SmartGroups to define a sales territory.  For example, you define a smart group for prospects that live in the zip codes 97217 and 97214.  (select “Prospect” then add 97217, 97214 in search terms)  This SmartGroup is always up to date when you view it.  This means that if your admin or marketing person adds new contacts to MioWorks, all of the ones that include those two zip codes will automatically show up in your SmartGroup.

Creating a new MioWorks SmartGroup

To create a new MioWorks SmartGroup, click on the CONTACT tab and then click on the “Manage Lists & Group” button.  A new screen will appear:

This is the SmartGroup & List management screen.  On the left you will see the collection of existing groups/lists that you or your team mates have already defined. For each SmartGroup you can select an action from the small icons on the same line.

The first action is duplicate.  This will copy the existing SmartGroup and allow you to modify it so you can make slight changes to an existing group.

Second is the Snapshot icon.  This allows you to snapshot a SmartGroup into a List.  This is used when you want to have a historical record of the group at a particular point in time.  This is useful when you send out a marketing campaign to a collection and you want to follow up with those who received the mailer.

The third icon is edit which allows you to make changes to the SmartGroup.

Finally is the delete icon which allows you to remove the SmartGroup.  Please note that the delete icon only applies to the SmartGroup definition.  It will NOT delete the contact records associated with this group.  For this action you must use the “delete” button located above the SmartGroup contact listing on the right hand side.

You may click on the name of a SmartGroup and the results for that group will show on the right hand side. A new box will appear to the left that shows the definition of the SmartGroup:

In additon to the icon next to the group name, you can edit the definition of a SmartGroup by clicking on “Edit group definition” in the information box.   Once you have a group defined, you can take actions on that entire group.  See Smart Group Actions page for details.
